Privacy & Confidentiality Policy

Protecting your private information

At Holidays on the Hill (HOTH), we take the privacy and protection of every family’s personal information very seriously. When you apply for assistance, we understand that you are sharing sensitive details such as names, addresses, and financial information.

As a registered nonprofit organization, we are legally and ethically obligated to protect that information. All applications and supporting documents are treated as strictly confidential and are only viewed by authorized HOTH representatives for the purpose of verifying eligibility for assistance.

We do not share, sell, or release any private information to outside individuals or organizations. Access is limited, and all files are securely handled in accordance with state and federal privacy regulations, including COPPA and other child protection and data security laws.

For verification purposes, you may be asked to show proof of income or benefits. However, we do not retain or keep copies of these documents. You simply show them for verification, and you take them back immediately.

Applications are kept securely and are destroyed after the assistance process and distribution are complete. We do not store or keep past applications from previous years.

Our volunteers and board members are required to follow a signed confidentiality agreement and to uphold the highest standards of care when handling personal information. Any misuse or unauthorized access to these records is a serious violation of both our policies and our legal responsibilities.

If you ever have concerns about how your information is handled, or if you believe your data has been shared without your permission, please contact us immediately at info@holidaysonthehill.org.

We appreciate your trust in us and remain committed to ensuring your family’s privacy, safety, and dignity are always protected.
